About conference use of the STCs

General information
Located in classroom buildings, libraries, and campus residences at Indiana University Bloomington and IUPUI, the Student Technology Centers (STCs) and Residential Technology Centers (RTCs) are funded entirely by student fees. It is therefore a violation of long-standing university policy to provide unrestricted access to these computing facilities. Only those students registered for classes during the current semester are automatically entitled to use these facilities.
Note: Faculty and staff using these facilities for instructional purposes is an exception to this practice.
Under certain circumstances, use of the STCs by those not otherwise affiliated with IU is permissible if:
- IT Training facilities are unavailable or inappropriate
- Use of the STC/RTC is funded by an IU department or student organization
- Use of the STC/RTC is funded by an IU-sponsored conference or workshop
If you are a conference organizer, make your plans early. If you need to reserve an STC for your conference, use the STC Lab Reservation System.
Note: Sponsors must keep records of all Conference account users. In the case of a security or policy violation, the sponsor must be able to supply identity and contact information for the user of the offending account at the time of the incident, and must assist in problem resolution.
Students have priority access to the STCs, so plan conference and workshop use when student demand is low. Even then, students must have convenient access to an equivalent STC.
Note: Sponsoring departments are responsible for ensuring participant compliance with all STC standards and practices.

Conference technology fee
To address restrictions on the use of student-funded facilities and still permit use by conference and workshop participants or other non-IU-affiliated personnel, program participants not enrolled in classes must pay a conference technology fee. This fee, paid in lieu of the student technology fee students pay, is pro-rated based upon the length of the conference.
Note: The conference technology fee may be waived if
no UITS-owned resources will be used during the conference. For more

The current rate for the conference technology fee is $5 per participant per week, with a one-week minimum charge. For programs lasting multiple weeks, charges are rounded up to the nearest week. For longer programs, the conference technology fee is capped at a level equivalent to the technology fee paid by students enrolled in three or fewer credit hours. Assessment of the conference technology fee, as well as any printing
fees, takes place prior to the start of the program, unless
alternative arrangements have been made with STC Conference Services
at stcconf@indiana.edu. Programs requiring
additional STC services, or those for which less than one week's
notice is given, may be assessed additional fees. These fees are
payable through a departmental account number prior to the beginning
of the conference.
Access to printing
Two-thirds of conference participants do not require printing during their stay. Of those that do, 85% print fewer than 100 pages.
To accommodate those that need to print, conference participants may purchase an STC printing allotment for $4 per 100 pages. If you are a conference sponsor and wish to fund printing for your participants, make arrangements for printing when you request your Conference accounts.
Network access from campus housing
If you anticipate that participants will need network access from
campus housing, you will need to make arrangements with
Technology Center Consulting (TCC) to access information
about the online Get Connected web site. To contact TCC, send email to
tcciub@indiana.edu with the subject "My
conference needs to Get Connected".
Note: Computers running Windows 95, 98, or Me, and Mac OS 9.x are not supported on the IU Bloomington campus.
