Purchasing/AP, Travel, and Ecommerce

Purchasing/AP, Travel, and Ecommerce provides the design, development, maintenance, and support of enterprise software serving all IU campuses in the administrative functions of purchasing/accounts payable, travel management, e-commerce, physical facilities maintenance, and document imaging, management, and storage.

  • The Purchasing/Accounts Payable system provides university-wide access to the EPIC procurement and invoicing system. EPIC allows shopping with both business-to-business and non-business-to-business vendors in the same environment, rather than via two individual systems. With partners from Cornell, Michigan State, San Joaquin Delta, University of Arizona, University of California, University of Hawaii, University of Southern California, Colorado State University, NACUBO, and rSmart, the Purchasing/AP team is part of the Kuali initiative to develop Purchasing/AP software integrated into the Kuali Financial System (KFS).

  • The Travel Management System will implement an enterprise-wide travel system to replace the TAPS system. All IU students, faculty, and staff will use the system to submit travel authorization documents and to initiate reimbursement requests, allowing for automation of travel approvals and processing of reimbursement requests.

  • The Ecommerce team provides support for direct deposit, bursar bill payment, and electronic payment processing for online merchants at all IU campuses. With the IU Treasurer's Office, the team is considering the purchase of an off-the-shelf enterprise shopping cart application for IU schools and departments as a replacement for the currently supported E-Store service.

  • Maintenance Management Systems (MMS) allow staff to manage and maintain IUB facilities via work order processing and inventory control through the integration of a number of current data systems into one, allowing the Physical Plant and other affiliated departments access to the same information. All databases are centralized, allowing information to be shared among all levels of the Physical Plant.

  • OnBase is a document management system used by multiple departments within the university. It allows the scanning, storage, and retrieval of paper documents as well as the scanning and retrieval of other types of files, including invoices processed by Accounts Payable on the IUB, IUPUI, and IUS campuses. OnBase, organized by department with potential security restriction, is also used to store photographs, drawings, and other types of files.
