The Faculty Center in OneStart

The Faculty Center in OneStart provides access to many services for Indiana University faculty. You can use the Faculty Center to manage all your class, student, and advisee details, including viewing class rosters and details, entering grades, and managing your teaching schedule, all for multiple terms and institutions. The Faculty Center is integrated with the faculty tools in Oncourse.

Accessing the Faculty Center

You can access the Faculty Center through Indiana University's OneStart portal. The Faculty Center is available 6am-5am Monday-Friday, 6am-midnight Saturday, and 8am-5pm Sunday (all times Eastern).

Log into OneStart. Select the Services tab, and then choose Faculty Systems on the left. In the "Instructor Information" area, click Go to Faculty Center.

If you have course information for more than one term, you will see a Change Term button on this page; click this to select a different term. Select the term and click Continue.

Note: The Faculty Center and other Self-Service applications use pop-up pages and subpages. If your Internet pop-up blocker is set to block all pop-ups, turn it off or change the setting to allow these pop-ups; see For Windows web browsers, how do I enable or disable pop-ups? For further assistance, contact your local Support Center.

Viewing your weekly teaching schedule

To view your weekly teaching schedule from the Faculty Center, click View Weekly Teaching Schedule. This will display your current schedule for the week. To change the display:

  • To change the week, click either << previous week or next week >>.

  • To change the times displayed, enter new values into the "Start Time" and/or "End Time" fields, and then click refresh calendar.

  • To display other options, such as the Class Title or Instructor Role, check the appropriate boxes under "Display Options", and then click refresh calendar.

Click Return to Faculty Center to exit the View My Weekly Schedule page.

Viewing class details

To view the details for a particular class from the Faculty Center, click the course number in the "Class" column. This will display the Class Details page for the course.

Click Return to Faculty Center to exit the Class Details page.

Viewing and using class rosters

To view the class roster for a particular class from the Faculty Center, click Class Roster in the "Class Roster" column for the class. This will display the Class Roster page for the course, where you can do the following:

  • To sort the class roster by any column, click the column header (e.g., Name or Grade Basis).

  • To print the class roster, click Printer Friendly Version, and then use your browser to print the resulting page. Click Return to go back to the roster.

  • To email students directly from the class roster, follow the appropriate directions below:

    • To send email to an individual student, click Send E-mail next to the student's name. This will open an email message with the student's address in the "To:" line.
    • To send email to several students on the roster, check the box next to each student's name and click Notify Selected Students. This will open an email message with all of the selected students' addresses in the "To:" line.
    • To send email to all students on the roster, click Notify Listed Students. This will open an email message with all of the students' addresses in the "To:" line.

    Note: You must have a preferred email address in SIS to use the Notify buttons. If you have not registered a preferred email address, you will receive an error message.

  • To download the roster to Excel, click the spreadsheet icon above the "Units" column.

    If the roster will not download and you are using Internet Explorer, you will need to change the settings that control download blocking. See About automatic download blocking in Internet Explorer.

Click Return to Faculty Center to exit the Class Roster page.

Viewing grade rosters

Note: The Grade Roster column and icons will only be displayed when the grade rosters are available.

To view the grade roster for a particular class from the Faculty Center, click Grade Roster in the row for the class. This will display the Grade Roster page for the course, where you can do the following:

  • To sort the grade roster by any column, click the column header (e.g., Name or Level).

  • To print the grade roster, click Printer Friendly Version, and then use your browser to print the resulting page. Click Return to go back to the roster.

  • To download the roster to Excel, click the spreadsheet icon just above the roster.

    If the roster will not download and you are using Internet Explorer, you will need to change the settings that control download blocking. See About automatic download blocking in Internet Explorer.

Entering grades into the grade roster

You can use the grade roster to enter final grades. Go to the appropriate Grade Roster page as above, and then:

  1. On the Grade Roster page, verify the term (toward the top of the page, below the course number) and roster type (below the "Meeting Information"; the roster type should be "Final Grade").

  2. Enter all grades into the "Grade Input" fields; alternatively, click Valid Grades to display a list of valid grade values and select an appropriate grade.

    • If you enter a grade of FN, the "Last Attendance Date" column will not appear until the roster is saved. A date is required when you enter an FN grade, but the place to enter the date will not show up until you deliberately refresh the roster. The system will not let you enter a date in this field that is not within the beginning and ending dates for the term. This should be the last date that you can document that the student attended class (e.g., last class attendance, last quiz or exam taken, or last log on to Oncourse).

      If the student never attended the class, enter a grade of FNN. It is not necessary to enter a last attendance date.

    • Students who dropped during the 100% refund period will not appear on the roster.
    • There will be a placeholder grade of ZZ for students who are taking IU classes through another university. No grade is necessary for these students.

    Note: It is important that you save often in order not to be timed out of this service. The grade roster is only refreshed when you click Save or Approve and Submit to Registrar. Save buttons appear at the top and bottom of the page.

  3. Click Save. Verify that all grades have been entered correctly.

  4. Once you have verified and saved the grades, click Approve and Submit to Registrar; you must assign a grade to all students before clicking this.

When you are finished with the grade roster, click Return to exit the Grade Roster page.

Assigning a grade proxy

To assign a grade proxy for a particular class from the Faculty Center, click Grade Proxy in the "Grade Proxy" column for the class, and then:

Note: If you do not see the Grade Proxy link, either your campus does not use this feature, or you are not listed as the primary instructor of this class. Only primary instructors of record have access to assign grade proxies.

  1. Enter the 10-digit University ID for the person to be added as proxy. Validate that you have chosen the correct person by confirming the person's name and Network ID on that page. If you use the Search feature (magnifying glass icon) to find the 10-digit ID, you should fill in as many fields as possible to narrow the list of results to the correct person.

  2. In the "Grade Roster Access" column, select either Grade or Approve status for the proxy. Grade access allows a proxy to enter grades, while Approve access allows a proxy both to enter grades and to submit the grades to the registrar.

  3. To add additional proxies or delete existing proxies, click + Add Row or - Delete Row as appropriate.

  4. Click Save. When you have saved your changes, the Faculty Center will send an automatic email confirmation to the primary instructor.

When you are finished, click Return to go back to the Faculty Center.

Searching for classes

Note: You can only search for classes that are in the currently published Schedule of Classes.

From the Faculty Center, click the class search tab to enter the Search for Classes page. To find a course:

  1. Select your Institution and Term from the drop-down lists.

  2. Select the Course Career from the drop-down list.

  3. If you know the Course Subject, enter it.

    If you do not know the Course Subject, click select subject to access a list of course subjects. In the guide at the top of the list, select the first letter of the course subject (e.g., select M for Math courses). In the list section that appears, click select to choose the Course Subject to view.

  4. Enter the Course Number.

    Use the drop-down menu to specify whether you want to search for an exact match or a partial match.

    Check Show Open Classes Only to narrow the search to classes still available for enrollment.

  5. Click Search to see the results.

On the Class Search Results page, click details to access the Class Search Detail page and review the information there. When you have finished, click View Search Results to return to the Class Search Results page. Other options include:

  • To search for another class, click Start a New Search.

  • To narrow your search results, click Additional Search Criteria.

  • To clear the search criteria and start over, click Clear Criteria.

Browsing the course catalog

You can browse the classes that are in the IU master inventory of courses. From the Faculty Center, click the browse catalog tab to enter the Browse Course Catalog page. To find a course:

  1. Select your Institution from the drop-down list.

  2. If you know the course subject, enter it.

    If you do not know the course subject, click search for a subject to access a list of course subjects.

  3. Enter the catalog number; use the drop-down menu to specify whether you want to search for an exact match or a partial match.

  4. Click Search to see the results.
